At One Vision Housing we take the confidentiality and the security of the information we hold about our customers very seriously.

This notice sets out our commitment to protecting personal data and is designed to comply with the General Data Protection Regulation 2016 (GDPR) with effect from 25th May 2018.  

Who is responsible for your information?
One Vision Housing Limited (the Data Controller), is responsible for the collection, processing, storage and safe keeping of any information you provide.

What information do we collect from you?
The information we collect from you includes: your name, proof of identity, date of birth, National Insurance number, contact details, details of anyone authorised to act on your behalf if applicable, details of other household residents and banking details if applicable. We may also collect other personal information depending on your personal circumstances.

We also collect information from surveys/questionnaires you participate in to help us improve our services and tailor them to meet your individual needs.

We may collect, store and process other special category data including information relating to disabilities, vulnerabilities or general health information. We use this information to tailor our service to meet your particular circumstances and needs. We may also use this information for safeguarding purposes.

Sharing your information
In some circumstances we may share your information with other members of the Sovini Group or with a third party such as contractors, suppliers or partner agencies, where they are working on our behalf to provide a service.

Our contractors, suppliers and partner agencies are required to comply with the law and our own Data Processing Agreement to ensure data is managed appropriately and for specified purposes.

We may also share information with other agencies to comply with legal obligations.

Examples of organisations we may share your information with include:
Contractors, Suppliers, Local Authorities, Housing Benefit, Department for Work and Pensions, Social Services, Police, Probation Service, Other landlords, Utilities Companies, Council Tax, Printers, Fire Service, Support Agencies and Health Services.

Lawful bases for processing of your data
The lawful bases for which we will process your data are:

  • Where processing is necessary for the performance of the contract(s) to which you are party.
  • Where processing is in our legitimate interests or that of a third-party
  • Where processing is in your vital interests
  • Where you have consented to such processing
  • Where we are legally obliged to

Security
We are committed to ensuring that your information is secure. We have in place physical, electronic and managerial procedures to safeguard all information you provide.

Access to your personal information and correction
Under Article 15 of GDPR you have the right to request access to the personal information we may hold about you. If we do hold information about you we will:

  • Give you a description of it
  • Tell you why we are holding it
  • Tell you who it could be disclosed to
  • Let you have a copy of the information in an intelligible format
